Terms of Service

ApptFlow is a cloud-based appointment management platform designed for GoHighLevel (GHL) agencies. The Service allows users to connect GoHighLevel sub-accounts via Private Integration Tokens, sync and manage appointment data, and collaborate with team members across an organization.

The Service is provided on a subscription basis. Features available to you depend on your active subscription plan (View, Manage, or Scale).

ApptFlow is not affiliated with, endorsed by, or a product of HighLevel Inc. (GoHighLevel). GoHighLevel is a third-party platform. Your use of GoHighLevel is governed by GoHighLevel's own terms of service.

To use the Service, you must register for an account by providing accurate, current, and complete information. You are responsible for:

• Maintaining the confidentiality of your login credentials.
• All activity that occurs under your account.
• Notifying us immediately at support@targetedflow.com if you suspect unauthorized access to your account.

Each account belongs to a single organization (workspace). You may not share login credentials between individuals unless explicitly permitted by your plan's team access features.

We offer a 14-day free trial for new accounts. During the trial period, you have access to the features of your selected plan at no charge.

No payment information is required to start a free trial. At the end of the trial period, your account will be restricted unless you subscribe to a paid plan. We will notify you before your trial expires.

We reserve the right to modify or discontinue the free trial offering at any time without notice.

Paid subscriptions are billed on a monthly or annual basis depending on the plan you select. All fees are stated in US Dollars (USD) unless otherwise indicated.

Payments are processed by PayMongo. By subscribing, you authorize PayMongo to charge your chosen payment method on a recurring basis at the applicable subscription rate.

We reserve the right to change subscription pricing. If we increase the price of your current plan, we will notify you at least 30 days in advance. Your continued use of the Service after the effective date constitutes acceptance of the new pricing.

All subscription fees are non-refundable. Once a payment has been processed, no refunds or credits will be issued for any reason, including but not limited to:

• Partial use of a billing period
• Downgrading to a lower plan mid-cycle
• Account cancellation before the end of a billing period
• Dissatisfaction with the Service

Your subscription remains active until the end of the current billing period after cancellation. No further charges will be made after that date.

As an exception, if you experience a technical failure or billing error caused directly by us, we will review the situation and, at our sole discretion, issue a credit or refund.

You may cancel your subscription at any time from within your account settings or by contacting us at support@targetedflow.com. Cancellation takes effect at the end of your current billing period.

Upon cancellation, your account and all associated data will remain accessible until the end of the paid period, after which the account will be deactivated. Appointment and contact data synced from GoHighLevel will be deleted from our systems within 30 days of deactivation. The original data in your GoHighLevel account is not affected.

You agree not to use the Service to:

• Violate any applicable law or regulation, including data protection laws in your jurisdiction.
• Process personal data without a lawful basis or without the knowledge of the individuals whose data is being processed.
• Attempt to gain unauthorized access to any part of the Service, its infrastructure, or another user's account.
• Reverse-engineer, decompile, or otherwise attempt to extract the source code of the Service.
• Use the Service to transmit malware, spam, or any harmful content.
• Resell, sublicense, or white-label the Service without our prior written consent.
• Use automated scripts to scrape, bulk-download, or stress-test the Service.

We reserve the right to suspend or terminate any account that we determine, in our sole discretion, is in violation of these Terms.

ApptFlow connects to GoHighLevel via Private Integration Tokens (PITs) that you generate and provide. By connecting a GoHighLevel sub-account, you represent and warrant that:

• You are authorized to access and export the data associated with that sub-account.
• You have obtained all necessary consents from the individuals whose data (appointments, contacts, etc.) is being synced into ApptFlow.
• Your use of that data within ApptFlow complies with applicable data protection laws and GoHighLevel's terms of service.

Targeted Flow Analytics is not responsible for the accuracy, legality, or completeness of data sourced from GoHighLevel. We process it solely as a service provider acting on your instructions.

The Service, including its design, software, branding, and content, is the property of Targeted Flow Analytics and is protected by applicable intellectual property laws. Nothing in these Terms grants you ownership of any part of the Service.

You retain ownership of all data you bring into the Service (your GoHighLevel data, your content). You grant us a limited, non-exclusive license to process and store that data solely for the purpose of providing the Service to you.

We aim to provide a reliable and uninterrupted service, but we do not guarantee 100% uptime. The Service may be temporarily unavailable due to scheduled maintenance, infrastructure issues, or circumstances beyond our control (including third-party service outages such as Supabase, Vercel, or GoHighLevel).

We will make reasonable efforts to notify users of planned maintenance in advance.

The Service is provided “as is” and “as available” without warranties of any kind, either express or implied, including but not limited to:

• Fitness for a particular purpose
• Accuracy or completeness of synced GoHighLevel data
• Uninterrupted or error-free operation
• Compatibility with all third-party systems or workflows

We make no warranty regarding the reliability or availability of GoHighLevel's API, which is outside our control.

To the maximum extent permitted by applicable law, Targeted Flow Analytics shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of revenue, loss of data, or business interruption, arising from your use of or inability to use the Service.

Our total liability to you for any claim arising under these Terms shall not exceed the total subscription fees you paid to us in the 3 months preceding the event giving rise to the claim.

Our collection and use of personal data is governed by our Privacy Policy, which is incorporated into these Terms by reference. By using the Service, you agree to our Privacy Policy.

We reserve the right to suspend or terminate your account, with or without notice, if:

• You violate these Terms.
• Your subscription payment fails and is not resolved within 7 days.
• We determine, in our sole discretion, that your use of the Service poses a risk to us, other users, or third parties.

You may terminate your account at any time as described in Section 6. Upon termination, your right to access the Service ceases immediately.

These Terms are governed by and construed in accordance with the laws of the Republic of the Philippines, without regard to its conflict of law provisions.

Any dispute arising from these Terms or your use of the Service shall first be attempted to be resolved through good-faith negotiation. If unresolved within 30 days, disputes shall be submitted to the appropriate courts of the Philippines.

We may update these Terms from time to time. When we do, we will update the “Last updated” date at the top of this page. For material changes, we will notify active subscribers by email at least 14 days before the changes take effect.

Your continued use of the Service after the effective date of any changes constitutes your acceptance of the updated Terms.
